Switching
Move across without gambling a Saturday.
The risk in changing systems is not the data. It is the weekend where nobody is sure which screen is right. Setful imports alongside what you use now and reserves nothing, so you can run both until the reconciliation convinces you.

How it goes
Four steps, and you can stop after any of them
- 1
Upload your export
We read it and report what is in it. A row we cannot interpret is kept with its reason, never silently dropped.
- 2
Import with no side effects
Products and customers land in your account. Bookings arrive as enquiries. No email is sent and no stock is held.
- 3
Reconcile against your reports
Counts and value, source against Setful, line by line, so you can check it rather than take our word for it.
- 4
Cut over when you are ready
Nothing becomes the system of record until an owner confirms it in writing.
What moves
Read this before you start, not afterwards
Every migration has things it cannot carry. The only question is whether you find out in advance. Setful shows this table inside the product before an import runs.
| Data | Status | Detail |
|---|---|---|
| Products, variants and prices | Comes across | From your products export. |
| Stock quantities | Comes across | Pooled quantities per product. |
| Customers and contacts | Comes across | Name, email, phone and address. |
| Future bookings | Comes across | As enquiries to re-quote. They hold no stock until you do. |
| Active operational state | Partial | Picked, loaded and on-hire are reconstructed from order status. Confirm each one before cutover. |
| Payments and balances | Partial | Totals and amounts paid come across. Individual payment records and provider references do not. |
| Product images | Partial | Only where your export contains a public URL. |
| Saved cards and mandates | Cannot move | These cannot move between providers. Your customers re-authorise. |
| Signature evidence | Cannot move | Stays with the source system. Keep your archive. |
| Historic invoice PDFs | Cannot move | Setful imports the figures, not the original documents. |
Where we are
Assisted migration preview available
The import, the reconciliation and the cutover all work, and the file reader is tested against the awkward shapes real exports contain.
What has not happened yet is a rehearsal with two different operators’ real exports. Until it has, we are not calling this verified migration and there is no free-migration offer on this page.
If you would like to be one of those rehearsals, we will do the work with you at no charge and you will see every line of the reconciliation. We learn more from it than you do.
Questions
What operators ask before switching
Will this disrupt my current system?
What if the import gets something wrong?
Do imported bookings block my stock?
Can I undo it?
Which systems can you import from?
Coming from a particular system?
Send us an export and we will read it.
No commitment. We will tell you what would come across, what would not, and whether switching is worth your time at all.
